The Golden Accountability Equation

Eliminate missing delivery bags, fake bank transfer receipts, and unaccounted route debts. Enforce 100% legal custody and zero-variance shift closures across your pure water vehicle fleet.

Mathematical Distribution Standard

The Golden Distribution Accountability Equation

Every pure water factory owner knows the headache: a driver takes 300 bags in the morning, comes back with partial cash, claims customers paid into the bank account, and alleges some bags burst on bad roads. TrackaBiz brings order with the iron-clad formula:

Issued Bags = Bags Sold + Bags Returned + Verified Transit Damage
1. Dispatched300 Bags
2. Bags Sold260 Bags
3. Good Returned36 Bags
4. Verified Burst4 Bags
Zero Variance Calculated: 300 Issued = 260 Sold + 36 Returned + 4 Damaged. Driver inventory is 100% reconciled.

The Daily Route Journey

From the morning loading bay inspection to evening cashier till reconciliation.

01

Warehouse Loading & Driver Legal Custody

Dispatchers record loaded vehicle batches (e.g. 300 bags). The delivery driver inspects the count and clicks Confirm Receipt on mobile. Legal and financial custody transfers 100% to the driver.

02

Mobile Route Sales & Instant Receipts

On their delivery route, drivers log cash sales, bank transfers (recording bank name and transaction ref), and pre-approved customer credit. SMS or digital receipts are delivered instantly to shops.

03

Evening Return & Two-Sided Remittance

The driver returns to the factory with unsold bags and cash. The Factory Accountant physically counts the cash notes and checks the corporate bank mobile app for confirmed alerts before clicking Reconcile.

04

Zero-Variance Shift Closure

The Golden Equation (Issued = Sold + Returned + Damaged) must balance to zero. If there is a shortfall in bags or cash, the variance is logged to the driver's personal custody balance for payroll deduction.

Two-Sided Remittance & Cashier Tills

Drivers cannot approve their own remittances. Reconciliations require dual confirmation.

Side 1: The Delivery Driver

Submits Remittance

  • Hands in total physical cash collected on the route.
  • Presents customer bank transfer transaction references.
  • Presents returned good bags and damaged burst bags for physical warehouse count.
Side 2: The Factory Accountant

Verifies & Reconciles

  • Physically counts cash notes into the cashier till.
  • Opens the company's bank mobile app to verify received credit alerts.
  • Clicks Confirm & Reconcile to clear the driver's legal custody.
